(Payment in full or any portion of the tour price shall constitute an acceptance by the tour member of these terms and conditions)

PAYMENT AND DEPOSIT REQUIREMENTS:
An advance payment of $250 per person is due at the time of booking. Final payment for program is due 60 days before departure. An advance deposit of $250 per person is due for MOST tours EXCEPT: "The Africa's" (Kenya, Tanzania, Botswana, Zimbabwe, Uganda and South Africa). Deposit of $450 per person due at time of booking. Group Tours have separate deposit requirements which are tour specific.

Acceptable forms of Payment: Check, American Express, Visa, MasterCard or Discover. Payments for tours within 21 days of departure require payment by certified check or money order. FINAL PAYMENTS ARE DUE 60 days prior to departure.

PARTICIPATION:
Persons who are not physically fit for long trips because of mental illness, heart disease, serious chronic or contagious illness, physical handicap, advanced pregnancy, senility or infirmity should not participate in these tours.

ALTERATIONS TO PUBLISHED ARRANGEMENTS:
HLO Tours reserves the right to alter or modify the itinerary of any tour if air schedule or surface transportation changes, and/or events beyond its control make such alteration necessary.

AIR TRANSPORTATION:
The cost of some tour arrangements includes round-trip air transportation to/from many U.S. cities. In may instances, favorable add-on fares can be provided. Air transportation is via ARC and IATA carriers in economy class or the class of service requested at the time of booking. First class and business class are available upon request. All air prices are quoted subject change should air fares be increased by the airline.

OUR RATES DO NOT INCLUDE:
  • Excess baggage on flights
  • Forwarding of baggage and souvenirs

  • Medical fees for inoculations
  • Passport fee and visa fee(s)
  • Items of a personal nature such as laundry, beverages, food not a part of the table d'hote menu, telephone calls, cable charges, faxes, etc.
  • Baggage, trip-cancellation, or personal insurance
  • Transfers for independent arrivals and departures (i.e. not with the group)
  • Meals not specifically mentioned as included
  • Customs fees
  • Gratuities to tour guides, escorts, drivers, porters, waiters, housekeeping, and our handling representatives

TRAVEL REQUIREMENTS:
Each passenger must be in possession of a current passport valid for at least six months from date of departure, have a round-trip airline ticket, and sufficient funds for the duration of their stay. Obtaining a passport and/or visa is the responsibility of each passenger. Details and information will be provided at time of booking.

USE OF PHOTOGRAPHY:
HLO Tours, Inc. reserves the right to take photographs during the operation of a tour and may use the same for promotional purposes. By booking a tour with HLO Tours, Inc., tour participants agree to allow their images to be used. If you do not wish to allow your image to be used advise your guide or escort, at the commencement of the tour. This notice should be in writing and bearing your signature.

CANCELLATIONS:
Cancellations are subject to the following terms and conditions, effective as of the date of written receipt by HLO of cancellation.

  • 60 days or more prior to departure: $100.00 (U.S.)handling fee, per person.
  • 59-14 days prior to departure: 50% of tour price, per person, to include handling fee and liquidated damages.
  • 13 or fewer days prior to departure: 75% of tour price, per person, to include handling fee and liquidated damages.
  • Day of departure: 100% of the tour price, per person, to include handling fee and liquidated damages.

REFUND OF UNUSED ARRANGEMENTS:
If you cancel while the tour is in progress, there will be no refund for the unused portion of the tour. If you do not use certain accommodations, services or features during the tour, there will be no refund for these unused arrangements.

CANCELLATION INSURANCE:
We strongly urge that, to allow for any unexpected contingencies, you purchase trip cancellation insurance. Such insurance will protect your from financial loss in almost all circumstances.

RESPONSIBILITY:
All booking are accepted on the specific condition that HLO Tours, Lake Mary, FL, and/or other subsidiaries, affiliated or associated companies, agents and sub-agents, act only as booking agents for the owners, outfitters, operators, and contractors providing means of transportation, accommodations, or other services.

All tickets, exchange orders or vouchers are issued by them, subject to any and all terms and conditions under which means of transportation, accommodations and other services are offered or provided and issuance and acceptance of covering vouchers and tickets shall be deemed to be consent to the further condition that neither HLO Tours nor their subsidiaries, etc., in the United States or abroad, shall become liable or responsible in any way in connection with such means of transportation, accommodations or other services, or for any loss, injury, damage to or in respect of any person or property, however caused or arising, or for any delays in transportation or consequences thereof.

HLO Tours reserves the right in its discretion to alter or omit any part of the itinerary, or change any space reservation, feature and/or means of conveyance without notice and for any reason whatsoever and without allowance of refund, but the extra costs, if any, resulting therefrom must be paid by the passengers.

HLO Tours shall not be responsible for any injury to person (whether or not resulting in death) or damage to property arising out of any act of war, insurrection, revolt or other civil uprising, other military action, strikes, or any Act of God, occurring in either the country of origin, destination or through passage.

The transportation companies concerned are not to be held responsible for any act, omission, or event during the time passengers are not on board their carriers or conveyances. The passengers contract in use by the carrier concerned, when issued, shall constitute the sole contract between the transportation companies and the purchaser of the tours and/or passengers.

HLO Tours reserves the right to cancel or withdraw any tour prior to departure and to decline to accept or retain any person as a member of the tour at any time. In such case, any refund indicated will be based on the actual cost of the unfinished portion of the tour. Some tours require a minimum number of passengers to operate at the published price. If such bookings for such tours fall below the minimum required, passengers will be advised of additional costs for that departure date, or be advised that the tour is canceled, in which case full refund will be made of any advance payment.

Payment in full or any portion of the tour price shall constitute an acceptance by the tour member of these terms and conditions.
